Listings Coordinator

About The Role

The Listings Coordinator is responsible for the administrative tasks and full support associated with the listing and promoting of properties on portals to drive brand awareness and sales.

Key Responsibilities

  • List all properties on the portals (rentals, resales and off-plan property for sale).
  • Edit property photos using Photoshop to maintain and ensure high quality standards and consistency to represent every property in the best possible light.
  • Check property quality scores on portals and ensure every listing is above 80%.
  • Verification of all properties on all portals.
  • Add new locations to portals when new projects in new locations are added.
  • Apply for RERA permits for all listings.
  • Check agent’s portal profiles for verification purposes and ensure all the details are up-to-date and correct.
  • Report issues to portal support teams & coordinate with technical team members regarding CRM and portal problems.
  • Notify the agents if a property listing has been flagged or reported by other agencies, and reply to the portal support team(s) to avoid penalties.
  • Set up and manage premium and featured listings as requested by the management.
  • Coordinate with Line Manager(s) and work together to help improve the quality of our leads and conversions.
  • Coordinate with the agents to ensure smooth and efficient portal listing management.
  • Manage call tracking activation & deactivation to ensure listings are up-to-date and managed efficiently.
  • Update the listings as requested by the agents.
  • Regular reviews of market prices to ensure our listings are in line with current benchmarks for quality control.
  • Check and re-write listing property descriptions to ensure they are written well and concisely in English without any grammatical or typing errors.
  • Conduct portal training with the new agents.
  • Report to the line-manager with weekly monthly leads report and overall performance of each portal.
  • Make recommendations to the line-manager regarding recommendations to improve the efficiency of our portal listings and set quarterly KPIs which are achievable and measurable.
  • Regular liaison with portal Account Managers to share monthly lead & analysis report and ensure we are always informed and updated with portal changes and new features to be introduced.
  • Ensure that all email leads are assigned to the right agent (as per the area & live listings).
  • Ensure that all the incoming lead enquiries are answered in a timely and efficient manner.
  • Prepare monthly lead reports for the management.

Requirements

  • 3 – 5 years’ experience working in real estate portal management
  • CRM experience is a must
  • Hands on experience with photoshop & photo-editing tools
  • Excellent command on spoken & written English (copywriting skills)
  • Excellent analytical skills
  • Real estate experience would be an advantage

ARRANGEMENTS FOR PERFORMANCE MANAGEMENT: Performance Management will be carried out on an annual basis and be related to the responsibilities outlined in the job description. The Performance Management meeting will evaluate achievements, agree areas for development, set appropriate targets and examine potential training requirements, changes and actions to be taken.
